Job Description:
Job Summary:The Executive Assistant will provide high-level
administrative support to the Executive Director and other senior
staff. In addition to serving as a lead to recruit and train
administrative staff within the department.Essential Functions and
Responsibilities:Provides high-level administrative support and
assistance to the Executive Director and/or other assigned
leadership staff.Performs clerical and administrative tasks
including drafting letters, memos, invoices, reports, and other
documents for senior staff.Arranges travel and accommodations for
executives.Schedules and attends meetings on behalf of executives,
taking notes and recording minutes to include Board
meetings.Receives incoming communication or memos on behalf of
senior staff, reviews contents, determines importance, and
summarizes and/or distributes contents to appropriate
staff.Performs office tasks including maintaining records, ordering
supplies, and performing basic bookkeeping.Performs additional
duties as assigned by executives.Maintains the level of
confidentiality necessary to ensure non-disclosure of Clinic
matters and provides secretarial support including typing and
transcribing of minutes, reports, and letters for the executive
team and other directors at times.Provides clerical support for
medical directors and arranges meetings.Provides clerical support
for physicians as the need arises and provides support for a
variety of matters involving staff members.Grasps the importance of
managing urgent situations and coping with interruptions as needs
arise.Receives and assists visitors and telephone callers,
referring them to appropriate individuals.Experience: Minimum of
two years of experience in a secretarial or administrative
assistant position. Three or more years experience is
preferred.Education: Equivalent to a high school diploma/
GEDAssociate degree is preferredPhysical Requirements Requires
prolonged sitting (7+ hours)Hand-eye coordination and finger
dexterity for typing, photocopying, and other office equipment.
Preferred typing speed is 50 WPMRequires normal range or hearing
and sight to record, prepare and communicate appropriate
reportsOther Skills Ability to maintain organization and manage
time are crucialThe ability to maintain confidential information
cannot be understated.Interpersonal communication skills to speak
with staff and visitors is also required.The ability to motivate or
influence others is a material part of the job, requiring a
significant level of diplomacy and trust.Obtaining cooperation
(internally and/or externally) is an important part of the
job.Extremely proficient with Microsoft Office Suite or similar
software with the ability to learn new or updated
software.Excellent time management skills with a proven ability to
meet deadlines.Ability to function well in a high-paced and at
times stressful environment.Extensive knowledge of office
administration, clerical procedures, and recordkeeping systems.Able
to type minimum of 50 words per minute.Acknowledgement:This job
