The position supports FWM personnel through a variety of tasks
related to organization and communication while maintaining the
highest level of customer service and professionalism for clients
and their needs. The Customer Representative for FWM is tasked with
structured, current document system that captures all contractual
and internal deliverables and ensures compliance with regulations
and record retention guidelines. Printing and mailing client
statements, along with dual control for mailing of daily checks, is
included in the responsibilities. The position requires proficiency
in document identification, document indexing and review.
Successful candidates will have excellent internal and external
customer service skills. A truly effective Customer Representative
is self-regulating, possess both reliability and consistency, is
able to learn quickly and problem solve well, and have practically
perfect organizational skills.
Primary Responsibilities and Duties:

Assist with answering incoming calls within the first two rings and
greet customers with a smile.
Provide coverage when front desk team members are away for lunch or
out of the office.
Respond to questions and requests for information from

during tax season.
Operate document imaging equipment to create electronic files or
Prepare documents for scanning, scan documents and verify quality
of digital images.
Appropriately archive documents already received in an acceptable
electronic format or create an acceptable format for retention.
Review existing files/documents and identify which are not scanned
into an acceptable electronic format.
Work with management to ensure current record retention systems are
structured appropriately for future system upgrades and/or
conversions department wide.
Properly scan and store documents found to still exist in only
paper form according to correct file architecture and naming
Annually identify files that can be properly disposed of per record
retention guidelines for additional review and files that can be
moved to the secondary archival location for server space.
Identify and index documents according to department guidelines and
Print, stuff, check off and mail trust department statements on a
monthly basis along with various tax reports at tax time.
Daily review of checks printed for accuracy and completeness and
prepare for outgoing mail.
Assist with special projects as assigned.
Previous knowledge of Microsoft Outlook, Word and Excel as well as
Adobe Acrobat is strongly preferred.
Previous experience with copier/scanners preferred.
High School Diploma or equivalent is required.
Detail oriented and strong organization skills.
